PRIVACY POLICY

This policy is intended to inform you how the Industry and Parliament Trust (“IPT") uses personal information from contacts. When we refer to “we" or “us" in the policy we are referring to the Industry and Parliament Trust.

THE IPT'S PURPOSE

We are an independent, non-lobbying, non-partisan charity that provides a trusted platform of engagement between Parliament and UK business. We are dually supported by cross-party representation of senior parliamentarians on its Board of Trustees, and through the patronage of its industry supporters. We are non-party political and works with all parliamentarians and businesses of any sector or size.

We create an environment that supports trusted, open and two-way dialogue between Parliament and UK business. Our programme of work includes the IPT Fellowship scheme, policy events and training.

THIS POLICY SETS OUT HOW WE WILL TREAT YOUR PERSONAL INFORMATION.

We are committed to safeguarding the privacy of all our contacts. Please read our Privacy Policy carefully to understand how your personal data will be used and treated. This policy may be reviewed and updated from time to time in accordance with GDPR compliance.

(1) INFORMATION WE COLLECT

We may collect, store and process the following kinds of personal data:

(a) information about your computer and about your visits to and use of this website (including your IP address, geographical location, browser type, referral source, length of visit and number of page views);

(b) information provided by you when registering with us or by completing forms on our website, which may include your name, email address, name of organisation or business name;

(c) we may keep a record of your correspondence if you contact us;

(d) information that you provide to us for subscribing to our website services, email notifications and/or newsletters, that may include your name, address, job title, organisation or business name and the aspects of our services that may be of interest to you;

(e) information that you provide to us as a customer or a supplier, not necessarily limited to your name, address, job title, email address, telephone number, bank details;

(f) CV, covering letter and other application details that you provide when applying for a job; (g) any other information that you wish to provide to us;

(h) we may obtain your company details from publicly available sources;

The only special category of data we collect from time to time is health information, for example we may ask you to volunteer your dietary requirements so we can cater appropriately for you at our events. We will only collect that special category of data with your explicit consent.

(2) ANALYTICS COOKIES

We may use Google Analytics to analyse the use of our website. Google Analytics generates statistical and other information about website use by means of cookies, which are stored on users' computers. The information generated relating to our website is used to create reports about the use of the website. Google will store this information. Most browsers allow you to refuse to accept cookies. This may however affect the functionality of some websites.

(3) USING YOUR PERSONAL DATA

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Where we need to perform a contract with you;
  • Where we need to comply with a legal or regulatory obligation;
  • Where it is necessary for our legitimate interests and your interests and fundamental rights do not override those interests; and/or
  • With your explicit consent.

Personal data will be used for the purposes described at the time of collection and may be used for other purposes specified in this Privacy Policy.

We may use your personal information to:

(a) administer the website and record usage patterns of the website;

(b) enable your access to our programmes, thus helping us to administer these effectively;

(c) provide advice about our programmes as requested by you;

(d) send to you a newsletter and/or other marketing communications relating to our organisation which we think may be of interest to you by post or, where you have specifically agreed to this, by email or similar technology (you can inform us at any time if you no longer require marketing communications);

(e) telephone you to tell you about our programmes;

(f) deal with enquiries and complaints made by or about you;

(g) to review any job applications you submit to us.

(4) RETENTION OF DATA / DATA RETENTION POLICY

We will retain your personal data for as long as is necessary in accordance with our Data Retention Policy. You may opt-out at any time from receiving communications from us in accordance with section 8 below, Your Rights. We will also retain and use your personal data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes and enforce our legal agreements and policies.

(5) DISCLOSURES

We may disclose information about you to any of our employees, officers, agents, suppliers or subcontractors insofar as reasonably necessary for the purposes as set out in this Privacy Policy, and will be required to comply with our strict privacy requirements, and to demonstrate that they follow best practice guidelines for data protection.

In addition, we may disclose information about you:

(a) to the extent that we are required to do so by law;

(b) in connection with any legal proceedings or prospective legal proceedings;

(c) to establish, exercise or defend our legal rights (including providing information to others for the purposes of fraud prevention and reducing credit risk).

We do not transfer the personal data we collect about you outside of the EEA.

(6) SECURITY OF YOUR PERSONAL DATA

We will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information.

We will store all the personal information we hold on our secure (password and firewall protected) system and take reasonable precautions to protect any data stored as hard copy files.

We limit access to personal information about you to staff who we believe reasonably need to use that information to provide services to you or to do their jobs.

Of course, data transmission over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

(7) POLICY AMENDMENTS

In line with continual GDPR compliance, our Privacy Policy may from time-to-time be updated, which will be posted on our website. We may also notify you of changes to our Privacy Policy by email.

(8) YOUR RIGHTS

You may instruct us to provide you with any personal information we hold about you at any time to check its accuracy. This request must be made in writing to the Data Controller using the contact details in section 10. We will comply with your request within one month and will ask for verification of your identity prior to processing the request.

You may instruct us at any time to update or amend the data we hold about you using the contact details in section 10.

You may instruct us not to process your personal data for marketing purposes by email, post or telephone at any time by contacting us using the contact details in section 10. We will retain some of your personal data in a suppression file to know not to contact you again in the future.

(9) THIRD PARTY WEBSITES

Our website contains links to other websites. We are not responsible for the privacy policies or practices of third party websites. Please check these policies and practices before you submit any personal data to these websites.

Our website may use social sharing buttons which help share web content directly from web pages to the social media platform in question. Users are advised before using such social sharing buttons that they do so at their own discretion and note that the social media platform may track and save your request to share a web page respectively through your social media platform account.
